Pre-Season Meetings: Setting the Foundation for Success

Meet with all parties involved to discuss the layout and management of the upcoming season. This includes staff, parents, and officials. Below are some best practices for those pre-season meetings.

Pre-Season Staff Meeting

Includes all staff members involved in game-day operations such as the athletics secretary, coaches, booster club president, head of security, equipment manager, and athletic trainer, among others.

  • Game Dates: Go over the season schedule. Highlight themed games, rivalry games, senior night, etc.
  • Ticketing: How do you purchase tickets? Where is ticketing when guests arrive?
  • Security: Discuss parking lots, stadium/venue coverage, and the need for police/security during games, if applicable.
  • Safety: What is the protocol for when an athlete gets hurt?

Pre-Season Parents Meeting

At the start of each season (fall, winter, spring), take time to gather the parents of athletes in those sports and discuss the Athletic Department’s expectations for the upcoming season. Topics include:

  • Vision and mission
  • Game expectations and behaviors
  • Ticketing and parking information
  • Responsibilities of players, coaches, parents, and officials
  • Introductions to staff (each team’s coach, athletic director, etc.)

Pre-Season Officials Meeting

Pre-season meetings with officials are essential for building positive relationships. By aligning expectations before each season, coaches and officials can reduce conflict during events and set a positive tone for your students. Investing in these meetings creates an environment where officials feel respected and valued, leading to quality officiating and a better game-day experience for everyone involved.

Student Expectations: Cultivating a Culture of Excellence

Students are the heart of school spirit and game-day energy, and each class of kids sets the tone for the future of an athletic program. It’s important to set clear expectations for conduct and expectations early in the school year, while also creating an inclusive and engaging experience they truly want to be a part of.

When everyone comes together to do their part, the sports season runs smoother and is more enjoyable for the entire community, creating an electric atmosphere for years to come.
